The question it answers: if someone else wrote this, would anyone be able to tell?
What’s actually in it
- How you sound. Blunt or warm. Short sentences or long ones. Whether you swear. Whether you use exclamation marks. Whether you say “we” or “I.”
- The words you use. The ones you reach for without thinking — the trade terms, the shorthand, the phrase you’ve used in every quote for fifteen years.
- The words you never use. This turns out to be the sharper half. Every business has language that makes the owner wince: “solutions,” “partner with you,” “state-of-the-art,” “we’re passionate about.” Writing down what you refuse to say does more work than writing down what you do.
- How you handle the awkward parts. How you say no. How you talk about price. What you do when a job goes wrong.
- Proof language. How you make a claim believable — numbers, photos, a named customer, or just plain refusal to oversell.
Why it matters
This is the file that decides whether the output sounds like you or like a chatbot on its first day.
Everyone else’s marketing sounds the same because everyone else is drawing from the same pool of generic business English. The moment a real voice file exists, the output stops being correct but anonymous and starts being recognisably yours — on the first draft, not after you’ve rewritten it.
What it stops: the rewrite. The single biggest hidden cost of AI marketing isn’t the subscription, it’s the hour you spend every week fixing tone. If the voice file is right, that hour goes away.
What breaks without it
You get copy that’s technically accurate and completely forgettable. A customer reads it and learns nothing about what kind of business you are. Worse: it reads like your three nearest competitors, because it was written from the same generic pool they were.
How it gets sharper
Every correction you make sharpens it. You send back a voice note saying “too long” or “never lead with price” or “that’s not how I’d put it”, and that becomes a rule the file keeps. → training-by-voice-note
